Publishing a report transforms a static .pbix file into a living, breathing asset hosted in the Power BI Service (Cloud). This allows stakeholders in Mumbai, Bengaluru, or Delhi to access real-time insights from any device.

Step-by-Step Publishing Guide

1. Finalize and Save

Ensure your data model is clean, DAX measures are tested, and visuals are formatted. Save your work locally as a .pbix file.

2. Sign In

In Power BI Desktop, look at the top-right corner. Use your organizational account (e.g., name@company.com). Note: Personal emails like @gmail.com are not supported for Power BI Service.

3. Execute Publish

Go to the Home Tab on the ribbon and click the Publish button on the far right.

4. Select Workspace

A dialog box will appear. Choose your destination:

  • My Workspace: For personal reports and drafts.
  • Collaborative Workspaces: For team projects (requires Power BI Pro/PPU license).

What Happens After Publishing?

Two Assets Created

The Service creates a Report (the visuals) and a Semantic Model (the data/logic). This allows you to build multiple reports from a single source of truth.

Configure Gateways

If your data is on an on-premises SQL server in India, you'll need a Data Gateway to allow the cloud service to refresh your data automatically.
