How to Publish and Share Power BI Dashboards Securely?
How to Publish & Share Power BI Dashboards Securely
In 2026, data leaks often happen not through hacking, but through improper sharing permissions. Sharing securely means moving beyond "Publish to Web" and mastering the Power BI Service security stack.
⚠️ NEVER Use "Publish to Web" for Internal Data
"Publish to Web" generates a public URL that requires no authentication. Anyone with the link (and search engine crawlers) can view your data. Use "Embed in SharePoint" or "Power BI Apps" instead.
The 4 Pillars of Secure Sharing
1. Row-Level Security (RLS)
RLS ensures that a user only sees data relevant to them. A Sales Manager in Delhi sees Delhi data, while the Mumbai manager sees Mumbai data—using the exact same report.
2. Power BI Apps (The Enterprise Standard)
Instead of sharing individual reports, bundle them into an App. This allows you to share a professional, branded collection of reports with specific groups while keeping the underlying "Workspace" private for developers.
3. Sensitivity Labels (Microsoft Purview)
Apply "Confidential" or "Highly Confidential" labels to your datasets. In 2026, these labels stay with the data. If someone exports your report to Excel, the Excel file remains encrypted and restricted to authorized users only.
4. External Sharing via Entra B2B
To share with vendors or clients, add them as Guest Users in your Azure/Entra ID. This forces them to sign in using their own credentials, ensuring you maintain a complete audit trail of who accessed what.
Sharing Methods vs. Licensing
| Method | Security Level | Requirement |
|---|---|---|
| Direct Share / Link | High (Internal Only) | Pro / PPU for both sides |
| Power BI App | Enterprise Grade | Pro (Creator) / Pro (Viewer) |
| Teams / SharePoint Embed | Contextual Security | Microsoft 365 + Power BI License |
| Premium Capacity | Scalable Secure Sharing | Free users can view (F64/P1 SKUs) |
